Overview
The AI SMS Scheduler is an autonomous agent system that handles the full lifecycle of interview scheduling — from initial candidate outreach to confirmed appointment — entirely through SMS, without any human intervention in the loop.
A recruitment operation was handling high volumes of candidate scheduling manually. Coordinators were spending hours each day on repetitive SMS exchanges: sending interview invites, handling reschedule requests, sending reminders, and confirming attendance. As volume grew, scheduling delays were increasing and candidate experience was degrading. The team needed a solution that could handle this volume at any hour without adding headcount.
We built an agentic workflow using n8n as the orchestration layer, DeepSeek as the language model for understanding and generating natural SMS responses, and Twilio for SMS delivery and reception. The agent understands candidate replies in natural language — including requests to reschedule, questions about the interview format, and confirmations — and responds appropriately without a script. Calendar slots are managed programmatically, and human coordinators are only looped in for exceptions the agent cannot resolve.
The system now handles the majority of scheduling interactions autonomously, operating 24/7 including outside business hours. Scheduling throughput increased significantly without additional headcount, and candidate response rates improved due to faster reply times. The human coordination team shifted focus from repetitive SMS exchanges to higher-value tasks.
